This Website Privacy Policy explains how Pricewise AI LLC (“Pricewise,” “pricewise.ai,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you visit the public website at pricewise.ai, read our content, or contact us through the website (collectively, the “Website”).
1. Scope of this policy
This policy applies only to the public Website and website-related inquiries, including requests for information, pricing, and demonstrations.
It does not apply to the Pricewise software application. Customer accounts, subscriptions, and the invoice, pricing, sales, and point-of-sale data processed in the application are governed by the separate terms and customer agreements made available with the application.
This policy also does not govern third-party websites or services that we link to. Their privacy practices are governed by their own notices.
2. Information we collect
Information you provide
We may collect:
- Contact and business information: your name, business or store name, email address, telephone number, the point-of-sale system you use, and the type of information or service you request.
- Inquiry content: information you include in a contact form, demo request, email, text message, telephone conversation, or other communication with us.
- Optional demo materials: if you voluntarily send us a sample invoice or another business document for a demonstration, we collect the document and the business information it contains, such as vendor names, products, quantities, costs, and prices.
- Communication preferences: whether you want to receive or stop receiving promotional email from us.
Please do not submit Social Security numbers, payment-card information, health information, consumer information, employee information, account passwords, or other sensitive personal information through the Website or its contact form.
You are not required to provide personal information, but we may be unable to respond to an inquiry or provide a requested demonstration without the information requested by the form.
Information collected automatically
When you use the Website, we and our website service providers may automatically receive:
- Internet Protocol (IP) address;
- browser type, operating system, device type, and language;
- pages requested, referring page or website, and links clicked;
- date, time, and approximate location derived from an IP address; and
- security, diagnostic, and server-log information.
The Website uses a one-way, salted hash of your IP address for short periods to limit repeated form submissions, reduce spam, and temporarily restore form information after an unsuccessful submission. The hash cannot be reversed to recover the address.
The public Website does not collect payment information. Payments and subscription billing occur outside the public Website and are not covered by this policy.
3. How we use information
We use Website information to:
- operate, maintain, troubleshoot, and secure the Website;
- respond to questions and requests;
- schedule and provide demonstrations and sales follow-up requested by you;
- communicate about Pricewise products or services that may be relevant to your inquiry;
- send promotional email where permitted by law, with an unsubscribe option in each promotional message;
- understand Website performance and how visitors find and use the Website;
- prevent spam, fraud, abuse, and security incidents;
- maintain appropriate business records;
- establish, exercise, or defend legal claims; and
- comply with applicable law and lawful legal process.
If you voluntarily provide a sample invoice or similar business document for a demonstration, we use it only to prepare, provide, and follow up on that demonstration. We may use a document-processing or artificial-intelligence provider to extract and organize information from the document on our behalf. Our providers are instructed to process that information only to provide services to us and not to use it to train their models.
We may create statistics that have been aggregated or de-identified so they cannot reasonably identify you or your business. We may use those statistics for lawful purposes such as measuring Website performance and improving our communications.
4. When we disclose information
We may disclose Website information to:
- Website and business service providers: companies that provide website hosting, content delivery, security, spam prevention, email delivery, data storage, technical support, and limited Website measurement. They may process information only as needed to provide services to us.
- Demo-processing providers: document-processing or artificial-intelligence providers used to prepare a demonstration that you request.
- Scheduling providers: if we send you an external scheduling link and you choose to use it, the provider receives the information you submit directly to it under its own privacy policy.
- Professional advisers: attorneys, accountants, insurers, auditors, and similar advisers when reasonably necessary for their work.
- Government authorities and other parties for legal reasons: when required by law, subpoena, court order, or other lawful process, or when reasonably necessary to protect rights, safety, property, the Website, or the public.
- Parties to a business transaction: in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of our business or assets, subject to appropriate confidentiality protections where applicable.
- Other parties at your direction or with your consent.
The Website serves its typefaces, images, and scripts from our own web host. It does not load fonts, analytics, or advertising code from third-party services.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising, use advertising pixels, or allow third parties to track Website visitors across unrelated websites for targeted advertising.
5. Retention
We retain Website information only for as long as reasonably necessary for the purposes described in this policy, including responding to inquiries, managing a prospective or existing business relationship, maintaining appropriate business records, preventing abuse, complying with law, and resolving disputes.
Website inquiries are stored in our website database and are also delivered to and retained in our email system. The website database keeps a rolling set of recent inquiries; older inquiries are deleted automatically. Deleted information may remain temporarily in backups until those backups are overwritten through the normal backup cycle.
Information used only to limit repeated form submissions or restore an unsuccessful form submission is retained for a short period. Hosting, security, and server logs are retained according to the operational and security schedules of us and our service providers.
If an inquiry becomes a customer relationship, relevant communications and business records may be retained as part of that relationship under the policies and agreements that govern the Pricewise application.
6. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect Website information. These safeguards include encrypted transmission through HTTPS, access restrictions, spam and abuse controls, software maintenance, and service providers selected to support appropriate security.
No website, transmission, or storage system can be guaranteed to be completely secure. Please do not send sensitive or confidential information through the public Website unless we specifically ask you to use an approved secure method.
7. Your choices and privacy rights
You may ask us to:
- provide access to personal information we maintain about you;
- correct inaccurate personal information;
- delete personal information;
- provide a portable copy of personal information where applicable; or
- stop sending promotional email.
To make a request, email sales@pricewise.ai with the subject line “Website Privacy Request.” We may need to verify your identity and authority before completing a request. Certain information may be retained when permitted or required by law, including information needed for security, fraud prevention, recordkeeping, or legal claims.
Depending on where you live and whether the applicable law covers our activities, you may have additional rights to know about our collection and disclosure of personal information, correct or delete information, obtain a copy, opt out of certain sales, sharing, or targeted advertising, limit certain uses of sensitive personal information, use an authorized agent, appeal a decision, and receive equal service without discrimination for exercising a privacy right. We will honor applicable rights and respond within the period required by law.
We do not sell personal information, share it for cross-context behavioral advertising, or use it for targeted advertising, so there is currently no sale, sharing, or targeted-advertising activity from which to opt out.
8. Cookies and tracking choices
The Website may use essential cookies or similar local technologies for website administration, security, and preferences, such as the cookies WordPress sets when an administrator signs in. These technologies are not used for targeted advertising.
Our hosting and security providers may produce aggregate Website statistics from server logs. The current Website does not use advertising cookies, advertising pixels, or cross-site behavioral tracking. If we introduce non-essential analytics or advertising technologies, we will update this policy and provide any notice or choice required by law before using them.
You can control or delete cookies through your browser settings. Blocking essential cookies may affect certain website or administrative functions.
Because we do not track visitors across third-party websites for targeted advertising, the Website does not respond to the older browser-based “Do Not Track” signal. Where legally required, we treat a recognized opt-out preference signal, such as Global Privacy Control, as a request to opt out of sale or sharing. Our current practices do not involve either activity.
9. Children
The Website is intended for businesses and adults. It is not directed to children under 18, and we do not knowingly collect personal information from children under 13. If you believe a child has submitted personal information through the Website, contact us so we can review and delete it where appropriate.
10. Processing in the United States
Pricewise is based in the United States, and Website information is processed in the United States. If you access the Website from another country, your information may be transferred to and processed in the United States, where privacy laws may differ from those in your location.
