Privacy Policy

This Privacy Policy explains how Pricewise AI LLC (“pricewise,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you visit our website or use the pricewise service (together, the “Service”). It applies to store owners and their authorized users (managers and clerks), and to visitors of our website. By using the Service, you agree to this policy. Capitalized terms not defined here have the meanings in our Terms of Use.
1. Information We Collect
On our website
- Forms. Information you submit through contact, demo, audit, or signup forms: name, email, phone, store name, and anything you include in a message or an invoice you send us for a free audit.
- Analytics and cookies. Standard analytics data: pages visited, referring site, browser and device type, and approximate location derived from IP address. See Section 10 (Cookies).
In the pricewise app
- Account information. Name, email, phone, store name and address, and the role assigned to each user (owner, manager, or clerk).
- Customer Data. Vendor invoices you scan, photograph, upload, or forward by email or EDI – including items, UPCs and PLUs, brands, pack sizes, units of measure, case and unit costs, departments, and vendor names – plus the prices, margin targets, notes, and settings you create in the Service.
- Payment information. Payments are processed by Stripe. We never see or store your full card number; we receive and keep only your subscription status, plan, and billing history.
- Usage and device data. Log data about how the Service is used: features accessed, scans run, timestamps, IP address, browser and device type, and error reports. We use this for support, security, and product improvement.
- Communications. Support requests, emails, and call or chat records when you contact us.
2. How We Use Information
- To provide the Service: reading your invoices, checking invoice math, calculating suggested prices, generating reports and price-change lists, and syncing with your register or shelf tags.
- AI processing. Invoice images and text are sent to our AI provider (Anthropic) to extract line items and check invoice math. Our AI provider processes this data only to provide the service to us and does not use it to train their models.
- Billing: processing subscription payments through Stripe and maintaining billing records.
- Support and operations: responding to requests, troubleshooting, securing the Service, preventing fraud and abuse, and enforcing our Terms of Use.
- Communications: service emails (receipts, alerts you have enabled, security and legal notices – these cannot be opted out of while you have an account) and, separately, marketing emails, which you can opt out of at any time via the unsubscribe link.
- Product improvement and Aggregated Data: as described in Section 4.
- Legal compliance: meeting our legal, tax, and regulatory obligations.
3. Support Access to Your Account
Our authorized personnel may access your account and data – including by logging in and viewing the Service as your users see it – to provide support you request, diagnose and fix problems, assist with onboarding and configuration, investigate security incidents or suspected misuse, and maintain the Service. This access is limited to what is reasonably necessary, is logged, and is subject to confidentiality obligations. It is also described in Section 8 of our Terms of Use.
4. Aggregated and De-Identified Data
We create data that has been de-identified and/or aggregated across stores so that it does not identify you, your store, your specific costs, prices, or vendor terms, or any individual, and cannot reasonably be used to do so (“Aggregated Data”). Examples include a shared catalog of grocery items (descriptions, UPC/PLU reference data, and product images), regional cost and price benchmarks, and category trends. We own Aggregated Data and may use it for any lawful purpose, including improving the Service, building new products, and publishing or licensing industry insights and benchmarks, during and after your subscription. We maintain de-identification standards and do not attempt to re-identify Aggregated Data.
We do not sell your personal information, and we do not sell or share your store’s identifiable data. We do not share one store’s identifiable costs, prices, or vendor terms with any other store or third party, except as described in Section 5.
5. Who We Share Information With
- Service providers (processors). Vendors who process data on our behalf and only on our instructions: our hosting provider, Stripe (payments), our AI provider (invoice reading), and our email/notification provider. Each is bound by contract to use your data only to provide their service to us and to protect it.
- Within your account. Your data is visible to the users you authorize, according to the roles you assign. Per-store isolation prevents other stores’ users from accessing your data.
- Legal. We may disclose information if required by law, subpoena, or court order, or where reasonably necessary to protect the rights, safety, or property of pricewise, our customers, or the public. Where lawful, we will notify you before disclosing your data in response to legal process.
- Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction; this policy will continue to apply to it, and we will notify you of any change in ownership or use.
- Aggregated Data. As described in Section 4, in a form that does not identify you.
6. Data Custodianship, Retention, and Deletion
While your subscription is active, we act as custodian of your data: we host it, maintain backups for disaster recovery, apply the security measures in Section 7, and keep each store’s data isolated. You own your Customer Data and can export it at any time through the Service.
If you cancel or your subscription lapses, we retain your account and Customer Data for 90 days so you can reactivate or export it. After that period, we delete or de-identify it, except that we retain: billing and tax records as required by law; logs reasonably needed for security and fraud prevention; and Aggregated Data, which is not subject to deletion because it does not identify you. Backup copies are purged on our normal backup rotation schedule.
7. Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect your data, including encrypted connections (HTTPS/TLS), encryption of data at rest where supported by our infrastructure, role-based access controls, per-store data isolation, access logging, and least-privilege access for our personnel. No method of transmission or storage is completely secure, and we cannot guarantee absolute security; you are responsible for keeping your login credentials confidential and for the devices you use to access the Service.
8. Data Breach Notification
If we determine that a security incident has resulted in unauthorized access to your unencrypted personal information, we will notify affected account owners without unreasonable delay, consistent with applicable law and the legitimate needs of law enforcement, and will describe what happened, what data was involved, and what we are doing about it.
9. Your Rights and Choices
- Access, correction, deletion, portability. You may request access to, correction of, deletion of, or a copy of your personal information by emailing sales@pricewise.ai. We respond to verified requests within the time required by applicable law (and in any case within 45 days).
- State privacy rights. Depending on where you live (for example, California, Colorado, Connecticut, Texas, Virginia, and other states with comprehensive privacy laws), you may have rights to know what personal information we collect, to correct or delete it, to opt out of targeted advertising and sales of personal information, and to not be discriminated against for exercising these rights. We do not sell personal information or use it for targeted advertising, so there is nothing to opt out of; the other rights can be exercised at sales@pricewise.ai. If we deny a request, you may appeal by replying to our decision.
- Marketing opt-out. Every marketing email includes an unsubscribe link. Opting out of marketing does not affect service emails.
- Authorized agents. Where the law allows, an authorized agent may submit a request on your behalf with proof of authorization.
- Business data. Requests concerning a store’s Customer Data (as opposed to an individual’s personal information) must come from the account owner.
10. Cookies and Tracking
Our website and app use cookies and similar technologies for: (a) essential functions – login sessions, security, and remembering your settings (these cannot be disabled); and (b) analytics – understanding how the site and Service are used so we can improve them. We do not use advertising or cross-site tracking cookies. You can control cookies through your browser settings; disabling essential cookies may prevent the Service from working. Because we do not track users across third-party sites, we do not respond to “Do Not Track” browser signals, though we honor opt-out preference signals where required by law.
11. Children
The Service is a business tool intended for use by adults. It is not directed to anyone under 18, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
12. Where Data Is Processed
We are based in the United States and the Service is hosted and processed there. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States, where privacy laws may differ from those in your jurisdiction.
13. Changes to This Policy
We may update this policy from time to time. For material changes, we will notify account owners by email or in-Service notice before the change takes effect and update the date at the top of this page. Continued use of the Service after the effective date means you accept the updated policy. Prior versions are available on request.
